Job Description
Job Purpose:
The primary objective of this position is to provide comprehensive support to the logistics department in Amman, Jordan, covering various areas such as procurement, fleet management, stock management, maintenance, and related tasks. Additionally, this internship offers the opportunity to gain insights into ACTED's policies, procedures, and operational methods, with a focus on implementation at an operational level. The primary goal of this role is to offer a learning experience for recent graduates and enlist their assistance in the logistics department's daily operations.
Objectives:
Contribute to the efficient, cost-effective, and transparent management of the supply chain in the country.
Contribute to the efficient, cost-effective, and transparent management of logistics across various departments in the country.
Ensure compliance with ACTED and donors' procedures for all logistics operations under their responsibility and actively advocate for adherence to logistics procedures.
Duties and Responsibilities:
Under the direct supervision of the Logistics Manager, the procurement intern is responsible for providing a range of specialized and non-specialized logistics support services. This includes ensuring the consistency and quality of completed work steps and maintaining an optimal flow of information. Key responsibilities in the areas of procurement and maintenance include:
Procurement:
Conduct market surveys and update the vendor database under the logistics manager's guidance.
Assist in preparing Request for Quotation (RFQs), Request for Information (RFI), and Invitation to Tender (ITT) package documents.
Draft bid analysis sheets and price comparison sheets.
Maintain and update the Framework Agreement tracker, providing updates to the direct supervisor regarding the status of each agreement.
Assist in preparing Purchase Orders, Contracts, Framework Agreements, or their Amendments.
Process invoices for goods and services, ensuring the accuracy and completeness of documentation, and ensuring timely payments, with necessary follow-up.
Prepare various reports, tables, charts, etc., using technical skills and knowledge in formatting and presentations.
Generate statistics and reports, including those related to procurement volume.
Conduct routine follow-up actions on procurement matters on behalf of the supervisor.
